First, we ran through the proposed format and workflow of decision making, and organisation involving this website - we discussed how it will be laid out, navigated, and what information will be held here. We then ran through some case-studies (linked below).
We then explained the process of our conversations with local surveyors, of which we called many, but 2 seemed to suit our project. One is Joe from Arup - a structural engineer with a team responsible for all building projects in the North, and another local surveyor called Ryan who specialises in underground gas and electric surveys, but has a wide network of contacts. The conclusion from these conversations was that the ‘survey’ is actually more of an investigation, involving multiple people and specialists in their respective fields. To find out the info we need, it would involve a team. We explained that haveing a firm like Arup on board will bring lots of credibility to the project, but also may beway out of budget. Working with Ryan would also be great, as he is a local professional who would be able to bring a more personal and dedicated approach tp the house at this stage.Joe and Ryan asked to see the scope of the PACT house project, and because of the professional nature of this stage, we want to send them an updated, clean and concise idea of our concept. This will form the basis of the quotes they will get back to us with.

We started by going over last weeks’ talk, this week we were joined by Beryl who we hadn’t seen in a long time! After everyone was up to speed we talked about what we’ve been up to this week. Firstly, we covered the new PACT landing page on the website which is now live - Dan was having trouble with the website on certain browsers, so we’re looking into that. Because we’re planning on sending out the resources to new people via this link. If they can’t see it, or there are bugs we risk looking unprofessional - something Sav said has been the reason why this drawing took a bit longer to get ready for send-out.&#38;nbsp;
Potential surveyors Ryan and Joe now have this resource as of today (25th June) and we are awaiting quotes. Dan then gave us the challenge of getting these quotes in and having a planning application finished by the time he returns in 3 weeks. We will use this now as our goal - which we agreed was a good amount of time because of a few reasons: We already have most of the work showing the accurate model of the existing house and garden from the previous Stages 0-1, we will be waiting for people to get back to us with quotes, and then the surveys will be undertaken (which will also take some time) and finally - we have all the resources to be able to create a successful planning application. We agreed that, while plans for the Bridge and extension may change, it would be favourable to get an ‘umbrella’ plan into the council ASAP as it also introduces another 2 month+ wait, during which time we can make design decisions relating to the interior refurbishment.

We had questions about our estimates for getting on site and building, which we found hard to answer. This is because the design is totally dependent on the new survey results, and the built and delivered project is reliant on the designs being correct, sub contractors and construction team all working together (harmoniously!) which all takes a lot of planning. We explained this construction timeline via the RIBA stages concept, and we’ve included this for further reading below for those unfamiliar.

We started by talking about air con! It’s been hot for the past couple weeks, and we agreed wit Lucy that temperature control is something that should be a bigger picture approach, such as heat exchangers, filtration systems, rather than an afterthought. We also discussed the link between traditional air conditioning and infection control, especially in relation to the recovery journey that transplant patients go through. This can range from 3 weeks to a over a year. This discussion shows that by tackling one aspect (temperature) with a big picture approach, we can solve many problems such as cleanliness, air quality, security (windows not needing to be open all night), inclusion, comfort, damp, and heating bills. This holistic approach is something we’re also now taking into account when picking who we want to work with.
Our approach to emails has changed to include a more accurate picture of PACT and the work it does. This should help with the outreach to companies that want to get involved, but may not know what support PACT offers, or if they exist at all.&#38;nbsp;
We then talked about the ward facilities and how PACT House should act as a hub for meeting the needs that the ward cannot cover. We briefly talked about how this could be connected in the future.&#38;nbsp;We also discussed the TPO and conservation area, and the fact that there is no TPO in place at PACT House. We will get further clarity on this from the council.&#38;nbsp;
Finally, we talked about the progress made this week. We have:
Received a quote from RCS, and after research foudn that it is a good quote, but we would still be missing information about the structure of the house.&#38;nbsp;
After this survey we would know more about the foundation of the house, the location of any underground utilities, the composition of the ground we’d be digging into around the cellar, and how big we’d need to make our new foundations.&#38;nbsp;We have chased up ARUP but not yet received an email back.&#38;nbsp;
We have emailed out to Ken, a contact of Lucy’s husband who does structural metalwork - now awaiting a response.&#38;nbsp;
We emailed Eastwood, the structural engineers who worked on the helipad, awaiting response but will call next week with the name of the previous contact.&#38;nbsp;

Our Architect Tony to discuss planning applications (Tuesday 7th July)
Will Teare - a garden designer who can help us with future concepts and to get a better understanding of the garden (Thursday 9th July 4:30)
Sheffield Tree Care (ARB Approved) - Again to help us understand the garden better, but specifically the types of trees (Monday 6th July)&#38;nbsp;

We talked this week from our dusty, messy construction site of a studio after finishing our custom shelving system ​(in 30 degree heat!)We jumped straight in by going over all the conversations that have been had over emails and calls. These included:

Eastwood Engineering Consultant: AndyAndy gave us some insight into their potential involvement - recommending a QS (Quantity Surveyor) to look at our scheme first before they get involved with trying to figure out it’s construction. This is because he estimated that our plans for digging out the rear face of the house will be very expensive, potentially exceeding our budget after design and survey costs. He proposed we get someone involved to help us determine what we can afford, and then proceed with the logistics - he did this from a speculative, and overestimated viewpoint for safety. We understood this, and after mentioning we’d be happy to work with their QS (who’s rate is £75-100 per hour) we concluded that creating 3 options for the staircase solution is the best way forward to save time and therefore money when the QS gets involved.&#38;nbsp;
We are now still working as normal towards the initial planning application, but with the idea that we will be creating more schemes to present to a QS before going to our engineers with the solution we can afford.&#38;nbsp;
Andrea, Bond Bryan
Sav has a friend, Andrea, who has worked at Bond Bryan for 30+ years. We’ve been talking to her about Structural surveys, looking for advice on how and who they work with. She has mentioned that this may be a project that they can support through their social value team, as they don’t usually get involved with works of this scale. We’ve shared our website so that she can better understand what we’re planning, and advise us on surveyors and engineers.
Sheffield Pro Tree CareNo probelms in garden - good management advice.&#38;nbsp;
Leonie, Alternate ArbLeonie was a contact passed to Sav after talks with Sheffield Pro Tree Care. She was very helpful with sharing her experience with working in the Sheffield council planning department. She understood the social impact of PACT immediately and offered a reduced quote and quicker, phased turnaround for her report - with phase 1 being the info we need immedately for planning, with phase 2 coming later (if required) involving writing a full report. This example report is available in our resources.&#38;nbsp;

We then thought about other ways companies can get involved if they are too expensive or too busy. This could involve sponsorships, events, free advise etc.
We talked about how British Gas have a program where they send out some workers to help with decorating, or how a painted truck could raise awareness and help us to fundraise. We are aiming to plant this seed with everyone we get in contact with, so that we can reach out to them as the project progresses with new ideas and opportunities to get involved.

We talked this week from our lovely house sitting location, where the dog, cats (and kitten) didn’t interrupt too much. Just Sav attended this Thursday, starting off by recapping the week - which has been relatively ‘quiet’ compared to previous weeks, in terms of emails.&#38;nbsp;
He then wanted to explain our current work situation, which is straddling two projects - beginning and end. This has caused quite a lot of stress over the past week, with the deadline for our other commitment being pushed back, landing on Friday 24th July. After this date, we are anticipating having our full attention bck on PACT, and we are extremely excited about that.&#38;nbsp;
While waiting to hear back from structural teams at Bond Bryan, Arup, and surveyors at Eastwood, we’ve been creating the template and drawings for our planning application.&#38;nbsp;
We had a great conversation this week with our architect Tony, who spelled out exactly what we need for planning, including the level of detail, scope, and supplementary info. We are proving to the council that we are being considerate with our tree survey which is happening on Monday, as this detail wouldn’t normally be required unless felling or cutting in the garden. We then have the option to go for phase two of Leonies’ report, if necessary, now we have the pre-requisite survey.&#38;nbsp;
We then talked about precedents for paying invoices moving forward, and the chain of command with finding out and maintaining records of who has been paid, and when.
Also happening on Monday is our meeting with Horbury, where we will be taking our proposed designs along to discuss and show to Gill and Lee. Lucy mentioned that the director of Horbury has a background in Quantity Surveying (something that came up last week) and so we feel as though it will answer lots of questions we have about budget, scope, and Horburys’ role in the project.&#38;nbsp;
Further to this, Lucy will be joining us on Monday at Horbury as a representative of PACT!&#38;nbsp;

We had the whole team together this week with Dan being back from his holidays. There was a lot to cover so we jumped straight into what we’ve been up to.
Firstly, we recapped our meeting with Horbury. We met Lee and Gill at their office on Monday and they were very supportive and excited about the project. We have summarised the points we discussed, as seen below:
1. We presented our plans, printed in A0, they were clear and now everyone is on the same page about the scope.
2. We all talked about the structural works being the most expensive part, they also said that this is their 'weak point'.
3. Horbury said they can do some quantity surveying (QS) for us, and would act as the main contractor.
4. Lee stressed that structural answers are key at this stage before Horbury can do any internal QS, so we made a plan to get some momentum before Eastwood visits the house for their structural survey:
Horbury will be able to visit the house and dig some test pits to find out what the structure of the foundations is like, they will also be able to cut a hole in the walls either side of the cellar stairs so we can understand how better to widen them to bring them up to regulation.
5. We will create a plan for them to dig, pushing it to be done ASAP (potentially next week)
6. This info will go to Eastwood and help them with a survey.
7. Lee is happy to be CC'd into these emails to further push this process.
8. As our main contractor they will co-ordinate various sub-contractors using their network when on site.
9. They are very confident that this is a small project for them in terms of interior fit-out.
10. Lastly we talked about the extent of PACT being the designated charity in terms of timeline, and they told us even though it's been two years, not to worry - they won't be dropping us halfway through this project!
11. They want to have a further conversation with trustees to discuss budget and what aspects can be done at cost, or FOC. This will happen once all outstanding questions are answered.

We talked about the catch-22 that we found ourselves in regarding the structural survey, and how we’re still pursuing this with high-priority. We have followed up again with Eastwoods to ask for their services with this, and Dan suggested that we go back to them again with very clear and concise questions:
 
1. By changing the window at the top of the cellar stairs into an opening, how much of what type of steel will this section require, both during construction for supports, and in the final build.

2. How far can we open up the lower staircase width by moving the interior wall(s) on the sides of the stairs?&#38;nbsp;
3. What is their advice for the type of new staircase? e.g: Concrete (expensive, structural) or timber (cheaper, can still be structural in places).&#38;nbsp;
Lucy will also ask her brother to chase up CDC as they seem to be a good option for structural advice as well.
Before we get this survey, Horbury have let us know that they are able to dig a trail pit and drill some investigative holes into the walls around the cellar stairs to help us gain valuable information that will influence the scope of the structural work. There are concerns with dust from this work so the house will need to be closed and thoroughly cleaned after work is carried out. Dan will speak to the staff and we will get a date arranged for the house to close, aiming to coordinate with Horbury and be completed by the end of next week.
We spoke about our meeting with Leonie following her Root Protection survey of the property. Her advice was very helpful and her report will be compiled into a site drawing that will support our planning application. The biggest takeaway that we will want to action is the issue with the tree roots that are lifting the paving. This is not seen as a major issue, and we have been recommended some solutions that we can explore when it comes time to focus our attention on the garden.
These solutions have been offered by Will Teare who is a potential designer for the garden. Any work undertaken to designs for the garden would take place in spring 2027, giving us plenty of time to design and budget for that deadline. We talked about phased design work and he will be coming back to us with some ideas on prices and how the design and build structure might look (we sent over the garden plan). Finally, Lucy will also be sharing our details with a connection she has who might be able to offer us some support in both gardens &#38;amp; business development.

This week was relatively quiet, and we had less to talk about than usual.&#38;nbsp;
The main thing we discussed was SKiNT’s planned time-off until the 12th August. We reassured that the planned site visits were still happening, and that we were happy to attend.&#38;nbsp;
We also discussed some elements of ‘readiness’ for the site visits, mainly around having a very clear question for Eastwood ready. We should be asking about steel both during construction (propping) and in our actual designs.&#38;nbsp;
